Terms and Conditions — School Tours at GROW HQ

These Terms and Conditions (“Terms”) govern school tour bookings at GROW HQ, operated by GIY CLG (“we”, “our”, “us”). 
By booking a school tour, the school (“you”, “your”) agrees to these Terms. Please read them carefully before confirming your booking.Shape 1. About School Tours at GROW HQ 
School tours at GROW HQ are designed to give students an educational and interactive experience centred on food growing, sustainability, and nature. Tours may include garden walks, demonstrations, hands-on activities, and educational discussions led by our team. 
All activities are subject to staff availability, weather conditions, and operational considerations. 

2. Supervision and Responsibility 
Teachers and accompanying school staff are responsible for supervising students at all times during the visit. 
This includes: 
  • Maintaining appropriate behaviour and safety standards 
  • Ensuring students follow all instructions from GROW HQ staff 
  • Monitoring students during all indoor and outdoor activities 
  • Ensuring students remain within designated areas 
  • Managing any medical, behavioural, or accessibility needs of their group 
We reserve the right to stop an activity or ask individuals or groups to leave if behaviour poses a safety risk or disrupts the experience for others. 

3. Booking and Payment 
  • Bookings are confirmed only upon receipt of written confirmation from us. 
  • Payment terms will be communicated at the time of booking (e.g., invoice in advance or payment on the day). 
  • All prices are in Euro (€) and include applicable taxes unless otherwise stated. 
  • If payment is not completed as agreed, we may cancel the booking. 
Shape 4. Cancellations and Changes 
By the School 
  • Cancellations must be received in writing at allen@giy.ie. 
  • Cancellations made less than 7 days before the tour date may be subject to a cancellation fee. 
  • Rescheduling is subject to availability. 
By GROW HQ 
We may need to cancel or reschedule tours due to weather, staff availability, or operational requirements. 
If this happens, we will notify you as soon as possible and offer an alternative date or a full refund of any payments made. Shape
5. Safety and Conduct 
For the safety of all visitors: 
  • Students and staff must follow all instructions from GROW HQ employees. 
  • Running, climbing, or entering restricted areas is not permitted. 
  • Dangerous or disruptive behaviour will not be tolerated. 
  • Appropriate clothing and footwear must be worn for outdoor activities. 
GROW HQ reserves the right to suspend or terminate any activity if safety is compromised. 

6. Medical, Accessibility, and Special Requirements 
Schools must inform us in advance of any: 
  • Medical needs 
  • Allergies 
  • Mobility or accessibility requirements 
  • Additional support needs 
This allows us to ensure the best experience for all students. 
Please note: GROW HQ gardens contain uneven ground, outdoor terrain, and live plants/soil. 

 
7. Food, Allergens, and Lunch Areas 
If your school group will be eating lunch onsite: 
  • Food may contain or come into contact with common allergens. 
  • Students with allergies must be supervised accordingly. 
  • Schools are responsible for the safe management of students’ food and medical needs. 
  • Any requests for allergen-safe arrangements must be communicated in advance. Shape
8. Weather Conditions 
School tours often involve outdoor elements. 
  • Tours will go ahead in light rain - please prepare students accordingly. 
  • Severe weather may result in tour cancellation or modification.

9. Photography and Media 
  • Teachers are welcome to take photos of their students during the visit. 
  • GROW HQ staff may take general photographs for promotional purposes. 
    We will only include identifiable images of students if prior written permission has been granted by the school. 

10. Liability 
While we take all reasonable measures to keep visitors safe: 
  • GROW HQ and GIY CLG are not liable for injuries, losses, or damages resulting from failure to follow safety instructions or from lack of adequate supervision by school staff. 
  • Schools are responsible for any damage caused by their students to property, equipment, or grounds. 
Nothing in these Terms limits liability where prohibited by law. 
11. Privacy and Data Protection 
Personal information provided during the booking process is handled in accordance with our Privacy Policy. 
Information is used only for managing your school tour and associated communications. 

12. Changes to These Terms 
We may update these Terms periodically. 
Any material changes will be published on our website and/or communicated directly to schools with existing bookings.

14. Governing Law 
These Terms are governed by the laws of Ireland.
